Job Description
– Handle business administrative procedures such as quotations, contracts, delivery & acceptance documents, etc., ensuring accurate collection and storage.
– Support sales team in reviewing contracts, preparing documents (contracts, quotations, acceptance reports, warranties, etc.), booking shipments (Grab, Viettel Post, Lalamove, etc.), delivering orders/contracts, and booking flights, trains, cars, hotels/guesthouses when the sales or AE team travels for equipment installation.
– Liaise directly with suppliers on matters related to credit, promotions, pricing, and registration (end-user information).
– Place purchase orders for machinery, equipment, and raw materials based on forecasts.
– Enter serial numbers of machinery and equipment sold into the serial management system.
– Manage key customer accounts and assist with sales orders assigned by the director.
– Coordinate with logistics providers to monitor the receipt/pick-up of goods, verify documents for customs declaration.
– Collaborate with the warehouse department to receive and inspect goods for international purchase/gift/return orders and double-check warehouse import/export processes.
– Work with suppliers regarding machinery maintenance, warranty, and repairs; manage transport logistics for equipment delivery and return.
– Support sales in preparing tender documents and control the quality of incoming goods.
– Assist AE team with support tickets (checking accessories, prices, stock availability, shipping, receiving from suppliers/customers), and support new product research (ordering resin, accessories from new suppliers).
Requirements
– Education: College, University, or Postgraduate degree in Business Administration, Economics, Finance & Accounting, Law, Foreign Languages, Human Resource Management, or related fields.
– English proficiency equivalent to TOEIC 550.
– Minimum 2 years of experience in a similar role.
– Detail-oriented and precise in every task.
– Skilled in organizing and filing documents systematically for easy retrieval and identification.
– Proficient in business management software.
– Fluent communication skills and quick adaptability.
